What this role covers

We are hiring a Workshop Operations & Marketing Coordinator for a coaching and training company in the Professional Services industry. This is a Full-Time remote role for a US-based client. The role is focused on end-to-end coordination of external, in-person workshops and practice operations, with consistent LinkedIn promotion and light bookkeeping. The ideal candidate is someone who is a proactive, detail-obsessed critical thinker, and a systems-driven professional capable of seamlessly managing business operations, client experiences, and national workshop marketing/logistics while anticipating the owner's needs.

Key Responsibilities:

  • Plan and coordinate external, in-person workshops (multi-city): source and secure venues, manage AV and catering, negotiate with vendors, oversee run-of-show, timelines, budgets, and checklists

  • Manage attendee lifecycle: registrations, confirmations, participant communications, pre/post-event surveys, and feedback tracking

  • Coordinate materials and logistics: order/ship workbooks and supplies, track inventory, and ensure on-time delivery

  • Provide founder/executive support: calendar and inbox management, meeting prep, slide/materials creation, and action-item follow-ups

  • Maintain CRM data hygiene, pipelines, and stakeholder communications; generate status reports and SOPs

  • Execute daily LinkedIn promotion: draft posts using AI tools, create simple Canva graphics, schedule/post, engage in comments, and manage targeted connections

  • Perform light bookkeeping in QuickBooks Online: invoice prep, expense categorization, basic reconciliations; liaise with accountant as needed

  • Conduct post-event reviews and implement process improvements to drive efficiency and attendee satisfaction

Required Qualifications:

  • 3+ years of operations and external event/workshop coordination with hands-on vendor and venue management

  • 2+ years event and operations marketing experience (familiarity with event metrics/ROI reporting is a plus)

  • Previous experience handling basic invoicing, expense tracking, and client billing procedures.

  • Proven track record managing calendars, client communications, and end-to-end logistics with minimal oversight

  • Exceptional written and verbal English communication; strong attention to detail and follow-through

  • High ownership mindset with the ability to anticipate needs, make decisions, and solve problems proactively

Preferred Qualifications:

  • Experience in consulting/coaching, professional training, or similar client-facing environments

  • Experience working in a blended role such as Event Coordinator, Operations Manager, Practice Manager, or similar.

  • Familiarity with invoice management and basic expense tracking (QuickBooks or similar)

  • Basic design skills in Canva and exposure to email marketing or registration tools

Required Skills & Tools:

  • Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides)

  • monday.com or similar CRM/project management platform

  • QuickBooks or similar invoicing/expense tools

  • Design & Content tools (Canva, LinkedIn, etc.)

Schedule & Pay:

  • Full-Time position; Monday–Friday, either 8:00am–5:00pm EST or 9:00am–6:00pm. EST

  • Fully remote role for a US-based client

  • Pay ranges from ZAR 19 000 - ZAR 25 000 per month

  • Includes training, growth potential, and the opportunity to develop long-term with the client
