What this role covers
We are hiring a Webinar Coordinator to support the delivery of a leading UK-based webinar programme serving finance leaders, CFOs, and senior executives within the construction industry. This is a remote role focused on webinar coordination, stakeholder management, event production, sponsor relations, and operational excellence.
The ideal candidate is highly organized, proactive, and detail-oriented, with experience managing virtual events and coordinating multiple stakeholders. This role requires excellent communication skills, strong project management abilities, and the confidence to oversee the full webinar lifecycle from planning through post-event delivery.
Key Responsibilities
Webinar Coordination & Project Management:
Manage the end-to-end delivery of webinars from sponsor onboarding through post-event reporting.
Follow established playbooks and documented processes to ensure consistent webinar execution.
Coordinate webinar timelines, deliverables, and stakeholder communications.
Manage webinar campaigns using Airtable, Notion, and other project management systems.
Ensure all webinars are delivered on time, on brief, and to a high professional standard.
Monitor project milestones and proactively address any delays or risks.
Maintain accurate records of webinar activities, communications, and deliverables.
Speaker Recruitment & Management:
Recruit and coordinate guest speakers for webinar events.
Review speaker nominations submitted by sponsors and clients.
Send speaker onboarding materials and welcome packs promptly upon confirmation.
Conduct introductory calls with speakers to discuss agenda, format, expectations, and guidelines.
Manage speaker communications throughout the webinar lifecycle.
Coordinate speaker schedules, technical requirements, and event participation.
Ensure speakers are fully prepared ahead of each webinar.
Sponsor Relationship Management:
Send sponsor briefing materials within established timeframes.
Manage collaboration between sponsors and internal teams regarding webinar agendas and content.
Collect and manage sponsor assets, including logos, scripts, and promotional materials.
Provide regular updates and previews to sponsors throughout the project lifecycle.
Manage sponsor expectations and ensure timely delivery of agreed outcomes.
Build strong professional relationships through clear and proactive communication.
Webinar Production & Promotion:
Set up and manage Zoom Webinar registration pages and event logistics.
Coordinate webinar promotion schedules and supporting marketing activities.
Schedule and facilitate technical rehearsals with speakers prior to live events.
Support live webinar delivery alongside moderators and internal stakeholders.
Monitor attendee engagement, Q&A sessions, and webinar functionality during live broadcasts.
Manage virtual green rooms and ensure recordings are captured successfully.
Troubleshoot technical issues and provide support during live events.
Post-Webinar Delivery & Reporting:
Perform basic video editing and webinar content preparation.
Identify key moments and timestamps for social media and promotional content.
Export, review, and organize attendee data for sponsor reporting.
Prepare and deliver webinar performance reports within required deadlines.
Send follow-up communications to attendees and registered non-attendees.
Coordinate post-event content distribution and stakeholder feedback processes.
Ensure all webinar deliverables are completed accurately and on time.
Required Qualifications:
3+ years of experience managing webinars, virtual events, or online productions.
Experience coordinating projects involving multiple stakeholders and deadlines.
Excellent written and verbal English communication skills.
Strong organizational and time-management abilities.
Ability to work independently while following established processes and procedures.
Strong problem-solving skills and ability to remain calm under pressure.
Ability to manage multiple projects simultaneously without sacrificing quality.
High level of attention to detail and accountability.
Preferred Qualifications:
Experience working within events, media, publishing, or broadcast production environments.
Experience managing Zoom Webinar events.
Familiarity with B2B audiences and professional services sectors.
Experience coordinating external speakers, presenters, or talent.
Knowledge of webinar production best practices and virtual event technology.

Schedule & Pay:
Part-Time position; 4 days per week UK time.
Fully remote role for a UK-based company.
Pay ranges from R7,000 - R8,000 per month depending on skills and experience.
Annual raises and confirmed holidays.
