What this role covers
We are hiring an Senior Executive Assistant for a private investment firm in the Private Equity / Venture Capital (Search Funds) industry. This is a full-time remote role for a U.S.-based company. This role is ideal for someone who is highly proactive, resourceful, detail-oriented, and an excellent communicator with strong judgment, confidentiality, and the ability to anticipate needs in a fast-paced environment.
Key Responsibilities:
Own complex, high-volume calendar management across multiple time zones and schedule investor/client meetings efficiently
Plan and coordinate international travel end-to-end, including flights, accommodation, transport, and detailed itineraries
Draft, send, and track investor communications, NDAs, capital call follow-ups, and document signatures
Prepare concise 1–2 page meeting briefs by reviewing CIMs/deal memos and using AI tools to summarize key insights
Manage executive inbox by triaging, prioritizing, and flagging urgent communications while tracking follow-ups
Maintain and organize contact databases/CRM, including logging meetings, notes, and next steps
Coordinate meeting logistics, agendas, and materials while capturing and tracking action items
Handle expenses, reimbursements, vendor coordination, and administrative processes while identifying efficiencies
Required Qualifications:
3+ years of experience as an Executive Assistant supporting executives in private equity, venture capital, investment banking, or similar environments
3+ proven experience managing complex calendars and international travel coordination
3+ years of experience drafting professional correspondence and preparing executive-level briefs
Strong judgment, proactivity, and ability to work independently with minimal direction
Excellent written and verbal English communication skills
High attention to detail and ability to handle confidential information with discretion
Preferred Qualifications:
Prior experience within private equity, venture capital, or search fund environments
Familiarity with CIMs, deal memos, and investor communication workflows
Experience using AI tools for summarization and content preparation

Google Workspace or Microsoft 365 (Calendar, Docs/Word, Sheets/Excel)
Scheduling and communication tools (Google Calendar/Outlook, Zoom/Meet, Slack)
Travel booking and itinerary tools (TripIt, Concur or similar)
DocuSign, PDF editing tools
CRM tools (HubSpot, Notion, Airtable or similar)
Schedule & Pay:
Full-time position; U.S. business hours in the ET/CT time zone (with some flexibility for international coordination)
This is a fully remote job for a U.S.-based company
Pay ranges from R20 000 to R36 000 per month, depending on experience and skill
Annual raises, bonuses, confirmed holidays, PTO
