Overview:
We are hiring an Operations & Scheduling Coordinator for an owner-operated company in the residential home cleaning industry. This is a part-time remote role to start (with conversion to full-time after a 30-day probation period) for a Oregon, US-based client. The role is focused on morning dispatch, schedule management, lead intake/sales, and cleaner coordination to keep daily operations running smoothly.
The ideal candidate is calm under pressure, highly organized, proactive, and an excellent communicator who thrives in fast-paced, service-based environments.
Key Responsibilities:
Own morning dispatch: handle cleaner call-outs/no-shows, secure same-day coverage, and rapidly reschedule jobs to minimize service disruptions
Manage daily schedules in the booking platform (create, adjust, and optimize routes; send confirmations and reminders)
Handle inbound leads via phone and Google Local Services Ads (LSA) messages; qualify, quote, and book jobs
Coordinate with cleaners/contractors: confirm assignments, track progress, handle time changes, and communicate updates
Provide responsive client support: address inquiries, resolve issues, and deliver status updates with empathy and professionalism
Maintain CRM pipelines and follow-ups in GoHighLevel; support review requests and light retention initiatives
Assist with recruiting and onboarding cleaners as needed (e.g., posting/screening on Indeed, coordinating documentation)
Support property management work orders and move-out scheduling, including detailed notes and requirements
Perform light admin tasks: data entry, reporting, SOP upkeep (e.g., Loom documentation), and post-service follow-ups
Required Qualifications:
1+ year in a scheduling/dispatch, operations, or customer support role within residential cleaning or similar field service
Strong written and spoken English; confident phone demeanor and chat-based sales capability
Proven experience managing dynamic schedules and solving same-day coverage challenges
Familiarity with booking/CRM tools and VoIP systems; able to learn new tools quickly
Availability to work consistent morning hours aligned with Pacific Time (PT)
Preferred Qualifications:
Prior experience supporting a US-based residential cleaning business
Hands-on work with BookingKoala, GoHighLevel (GHL), and OpenPhone
Experience sourcing and coordinating contractors via Indeed or similar platforms
Required Skills & Tools:
BookingKoala (or similar home services booking platform)
GoHighLevel (CRM and automations)
OpenPhone (or similar VoIP and texting platform)
Schedule & Pay:
Part-Time position to start; 20 hours/week in the Pacific Time Zone (Monday–Friday, 8:00am – 12:00pm PT) during a 30-day probation period, transitioning to Full-Time (40 hours/week, Monday–Friday, 8:00am – 4:00pm PT) upon successful completion
Fully remote role for a Oregon, US-based client
Pay ranges from ZAR 8,600 to ZAR 10,000 per month, depending on experience and skill
