We are hiring an Operations & Marketing Executive Assistant for a vacation rental and executive services company in the real estate and professional services industry. This is a full-time remote role for a U.S-based company. Ideal for someone who is highly organized, proactive, execution-focused, and comfortable working closely with a fast-paced founder to manage day-to-day operations, marketing execution, and business priorities.
Key Responsibilities:
Work directly with the founder via daily screen-sharing and sync sessions to organize, prioritize, and execute a high volume of tasks.
Schedule and publish social media content using pre-built templates and tools.
Coordinate content across platforms (posts, newsletters, lead magnets, articles) and execute "plug-and-play" social media posts using existing templates (quotes, carousels, talking heads) in tools like Buffer
Manage and update nurture lists, including coordinating outreach and follow-ups
Assist with publishing materials (e.g., books, lead magnets) on platforms like Amazon
Coordinate with internal team members (e.g., marketing, editors, operations) to ensure alignment and execution
Organize, prioritize, and manage the founder’s task list and workflow
Ensure KPIs are collected from team members, send out meeting notes, and manage the "nurture list" to ensure high-level executives receive timely follow-ups and articles.
Align marketing materials with brand updates and website developments
Support content planning by organizing ideas, templates, and posting schedules
(This role is execution-focused rather than strategy-driven, with an emphasis on getting tasks done efficiently and accurately.)
Required Qualifications:
3+ years experience in an Executive Assistant, Operations Assistant, or similar role
3+ Experience supporting a founder or senior executive in a fast-paced environment
2 + Experience in social media management and content scheduling tools (e.g., Buffer)
Familiarity with the "outbound system" of marketing—understanding how branding, email outreach, and social media work together
Ability to manage multiple priorities and work independently
Exceptional English communication skills, with the ability to interact with older, high-level corporate executives.
Preferred Qualifications:
Exposure to digital marketing, newsletters, and content workflows
Experience with outreach or pipeline coordination
Familiarity with AI tools or automation in marketing workflows
Basic understanding of branding and visual consistency
Experience working with remote teams
Required Skills & Tools:
Social media scheduling tools (e.g., Buffer or similar)
Google Workspace (Docs, Sheets, Drive)
Project/task management tools
Basic AI tools for content execution (prompt-based workflows)
CRM or outreach tools (nice to have)
Content publishing platforms (e.g., Amazon KDP – nice to have)
Schedule & Pay:
Full-Time position; 40 hours per week - 9:00am - 5:00pm in the EST (Eastern Standard Time) time zone.
This is a fully remote job for a US based company.
Pay ranges from R16,000 - R22,000 per month, depending on experience and skill.
Annual raises, bonuses, and confirmed holidays/PTO.
