We are hiring a Operations & Digital Content Assistant for a growing small-business contractor in the Construction & Remodeling industry. This is a Part-Time-to-Full-Time remote role for a California, USA based client.
The role is focused on end-to-end administrative support for construction projects, including estimates, proposals, invoicing, change orders, scheduling, cost tracking, and organizing project documentation - plus light content posting. The ideal candidate is detail-oriented, proactive, construction-savvy, an excellent communicator, and comfortable working US Pacific Time hours.
Key Responsibilities:
Prepare, edit, and format estimates and proposals based on project scope and inputs from the field
Handle paperwork and submission of fleet account invoices online, ensuring accuracy and compliance (estimates, invoicing, A/R, change orders, customer comms, scheduling, follow-ups, post-job follow-ups (customer satisfaction sign-offs)
Draft, process, and log change orders; ensure scope, pricing, and approvals are captured accurately
Coordinate customer communications (calls, texts, emails) for scheduling, confirmations, and updates
Conduct post-job follow-ups and manage customer satisfaction sign-offs/documentation
Track project costs, budgets, and vendor/subcontractor invoices in spreadsheets/CRM
Maintain organized digital files and folders (e.g., Google Drive) and standardize document templates
Enter, update, and maintain records, pipelines, and tasks in the CRM (GoHighLevel)
Support light marketing tasks: posting photos/videos, organizing media, and basic website updates
Assist with digital marketing campaigns (Google Ads, Meta Ads, SEO testing, newsletters)
Create and schedule engaging content for Facebook, Instagram, LinkedIn, and other relevant platforms
Collaborate with the owner/leadership to improve SOPs, streamline workflows, and maintain accurate reports
Design and manage graphics and posts using Adobe and Canva
Manage relationships with influencers, and community networks to expand brand visibility
Provide direct executive support, including calendar management, inbox organization, meeting coordination, and document preparation
Required Qualifications:
2+ years of administrative/operations experience; exposure to construction, remodeling, or trades
2+ years of hands-on experience preparing estimates/proposals, invoices, and change orders
2+ years of experience in social media management, digital marketing, or brand account management.
2+ years experience using Canva, Adobe and CapCut for image and video content creation
Strong customer communication skills with clear, neutral spoken and written English
Proven ability to track costs, manage spreadsheets, and maintain organized project files
High attention to detail, follow-through, and ability to meet deadlines in a fast-moving environment
Preferred Qualifications:
Prior experience supporting residential or light commercial remodeling/ADU projects
Familiarity with time-tracking and screen-tracking tools (e.g., Hubstaff) and VoIP phone systems
Experience posting to social media or organizing photo/video assets; basic content editing is a plus
Required Skills & Tools:
GoHighLevel (CRM) or similar pipeline/task management tools
Google Workspace (Docs, Sheets, Drive) with strong spreadsheet skills
E-sign and PDF tools (e.g., DocuSign, Adobe Acrobat, or equivalent)
Schedule & Pay:
Part-Time-to-Full-Time position; Part-time to start (20 hours/week) with core collaboration during 8:00 AM–4:30 PM Pacific Time (Mon–Fri), potential to scale to Full-Time based on performance and business needs
Fully remote role for a California, USA based client
Pay range: R7,000 - R10,000 per/month
Includes onboarding support, SOP development assistance, and growth potential into a broader role
