Overview:

We are hiring a Medical Receptionist (Telehealth) for a private practice in the behavioral healthcare industry. This is a full-time, fully remote role for a US-based company. This role is ideal for someone who has experience supporting US healthcare practices, managing high-volume patient scheduling, and coordinating care across multiple providers. The ideal candidate is proactive, empathetic, detail-oriented, and confident making independent scheduling decisions while understanding the broader needs of patients and providers.

Key Responsibilities:

  • Support and coordinate scheduling for a panel of approximately 3–4 healthcare providers in a busy telehealth practice.

  • Make high-volume outbound calls to patients to arrange follow-up appointments, reschedule visits, and reach patients who miss or do not attend their scheduled sessions.

  • Monitor provider schedules and proactively optimize appointment availability, taking provider preferences, appointment types, and patient needs into consideration.

  • Coordinate post-session scheduling and follow-ups to ensure continuity of care and efficient use of provider time.

  • Process patient copayments, update insurance and demographic information, and review patient records to ensure information is accurate and up to date.

  • Document patient interactions, appointment changes, and relevant updates in the electronic medical record (EMR) system.

  • Send appointment reminders and assist patients with basic telehealth access or scheduling questions.

  • Collaborate closely with practice leadership, the reception team, and the scheduling manager in a fast-paced, highly communicative environment.

  • Escalate clinical, billing, or complex patient concerns to the appropriate team member.

  • Maintain strict patient confidentiality and adhere to HIPAA requirements.

  • Adapt to front-desk responsibilities as the practice grows, potentially including inbound calls, patient intakes, and additional reception duties.

Required Qualifications:

  • 2–4 years of relevant medical receptionist, medical scheduling, or healthcare administration experience, preferably supporting a US-based healthcare practice.

  • Hands-on experience using an electronic medical record (EMR) or electronic health record (EHR) system.

  • Experience managing appointment scheduling, rescheduling, patient follow-ups, and high-volume outbound calls.

  • Excellent spoken and written English, with clear, professional communication skills suited to US-based patients.

  • Strong interpersonal skills and the ability to navigate sensitive or nuanced patient interactions with empathy, professionalism, and sound judgment.

  • Exceptional attention to detail when handling patient records, insurance information, copayments, and appointment changes.

  • Ability to multitask, prioritize competing demands, and work effectively in a fast-paced healthcare environment.

Preferred Qualifications:

  • Direct, hands-on experience with DrChrono EMR or other EMR/EHR platforms

  • Previous experience in behavioral health, mental health, psychiatry, psychotherapy, or a similar healthcare practice.

  • Previous experience in telehealth operations, particularly coordinating follow-up appointments after virtual consultations.

  • Familiarity with US healthcare procedures, patient copayments, insurance information, and HIPAA compliance.

  • Current HIPAA certification, or willingness to complete certification before starting if required.

  • Experience working remotely with US-based clients and collaborating with distributed teams.

Required Skills & Tools:

  • DrChrono EMR: Strongly preferred; candidates with comparable EMR/EHR experience may be considered if they demonstrate excellent transferable skills.

  • Outbound calling and appointment scheduling: Ability to manage a high volume of patient calls and coordinate multiple provider schedules efficiently.

  • Communication tools: Familiarity with VoIP phone systems and virtual communication platforms.

  • Google Workspace or Microsoft Office: Ability to manage email, calendars, documents, and administrative records.

  • Patient data management: Accurate documentation, information verification, and secure handling of confidential records.

  • HIPAA compliance: Understanding of patient privacy and confidentiality requirements, with certification preferred.

Schedule & Pay:

  • Full-time position, approximately 40 hours per week.

  • Monday–Thursday, 9:00 a.m.–7:00 p.m. Eastern Time, with an unpaid lunch break and additional breaks as agreed with the client.

  • The schedule is designed around four longer working days to provide additional coverage during the practice's busier periods.

  • This is a fully remote position supporting a US-based healthcare practice.

  • Pay ranges from R14 000 – R20 000 (~840 USD- 1200 USD) per month depending on experience and skill.

  • Annual raises, bonuses, and confirmed holiday PTO are subject to the applicable client agreement and employment arrangements.

System Requirements:

  • Internet speed of at least 20 Mbps upload and download.

  • Computer with a 2.4 GHz processor or higher.

  • 8 GB of RAM or higher.

  • Windows 10 or newer, or Mac OS X 10.10 or newer.

  • HD 720p webcam.

  • Headset with a microphone.

Benefits:

  • Competitive pay rates.

  • The company provides a US phone number and business email address.

  • Enjoy the flexibility of working remotely from home or another suitable location.

  • Eliminate daily commuting time and expenses.

  • Consistent work with the same client, fostering long-term professional relationships.

  • Opportunities for career advancement, depending on the client and practice growth.

  • Stable working hours and consistent monthly pay.

  • Structured onboarding and collaborative training from an experienced healthcare team.

  • Direct communication with practice leadership and the scheduling manager, with ongoing support throughout the working day.

  • A supportive and inclusive work environment that values diversity, initiative, and individual growth.

  • The opportunity to contribute to an expanding telehealth practice and help improve the patient experience.
