What this role covers

We are hiring an Executive Assistant for a high-growth tech company in the Professional Services industry. This is a Part-Time remote role for a Europe-based client, with potential to transition to Full-Time. The role is focused on high-level executive support, including complex calendar and international travel management, stakeholder coordination, meeting preparation and follow-up, and driving structure and process in a fast-paced environment. The ideal candidate is a professionally mature, proactive, and structured individual who can think outside the box, bring immediate organization to a busy executive's life, and manage complex global logistics with empathy and foresight.

Key Responsibilities:

  • Own and optimize a complex executive calendar across multiple time zones, proactively building travel buffers and recovery time

  • Plan and manage end-to-end international travel (visas, flights, accommodations, ground transport, contingency plans, and detailed itineraries)

  • Serve as primary liaison with internal and external stakeholders; draft, proof, and send professional communications

  • Prepare executives for meetings (agendas, briefs, research, talking points) and drive follow-up actions to completion

  • Manage executive inboxes, prioritize communications, and triage urgent items with sound judgment

  • Build structure and processes (SOPs, checklists, templates) to increase clarity, predictability, and efficiency

  • Coordinate recurring leadership rhythms: weekly reviews, pipeline/priority tracking, and status reporting

  • Protect executive focus time; apply thoughtful gatekeeping and context-switch reduction techniques

  • Track expenses, reconcile receipts, and support budget and vendor coordination

  • Implement and optimize tools/workflows (calendaring, task/project management, documentation) and surface improvements, including light use of AI productivity tools

Required Qualifications:

  • 3+ years supporting C-level executives in fast-paced, international environments

  • Proven success with complex calendar and global travel management across time zones

  • Exceptional written and verbal English communication; executive presence and discretion

  • Strong judgment, prioritization, and problem-solving with a proactive, anticipatory approach

  • Demonstrated ability to create structure, streamline processes, and follow through to results

Preferred Qualifications:

  • Experience supporting a CEO/founder or senior leadership in consulting, technology, or high-growth settings

  • Experience supporting international executives or working within a multicultural global footprint (familiarity with Spanish or European business cultures is a major plus).

  • Experience working fully remotely in an asynchronous or highly dynamic team environment.

Required Skills & Tools:

  • Google Workspace or Microsoft 365 (Calendar, Mail, Docs/Sheets)

  • Slack and Zoom (or similar communication/collaboration tools)

  • Project/task management and documentation tools (e.g., Asana/Trello/Notion) and comfort adapting to custom/in-house AI software

Schedule & Pay:

  • Part-Time position; target 20 hours/week with 4+ hours overlap within 9:00–17:00 CET/CEST (flexibility required); potential to transition to Full-Time

  • Fully remote role for a Europe-based client

  • Pay ranges from ZAR 7000– ZAR 9500 per month, depending on experience

  • Includes training, long-term growth potential, and a high-impact, executive-level scope of work
