What this role covers

We are hiring an Executive Assistant for two innovative sister companies in the Biotech and Performance Lifestyle industries. This is a Full-Time remote role supporting an executive across both ventures. This role is ideal for a proactive, "A-player" who functions as a "Right Hand," capable of moving seamlessly between business operations—like sourcing global suppliers—and high-level personal support. We are looking for someone who prides themselves on bringing order to chaos and staying two steps ahead of the executive’s needs.

Key Responsibilities:

  • Business Operations & Sourcing: Source packaging and materials via platforms like Alibaba; assist in drafting and putting together scopes for upcoming business projects.

  • Systems Management: Perform "digital housekeeping" by cleaning up, organizing, and maintaining Notion boards and project trackers.

  • Dual-Company Admin: Manage complex calendars for two distinct brands; handle logistics such as ordering office equipment and managing business subscriptions.

  • Personal Support: Manage a variety of personal tasks including booking travel, coordinating private appointments, and handling miscellaneous tasks like paying parking tickets or managing personal renewals.

  • Communication & Inbox: Act as a professional gatekeeper for multiple email accounts, drafting correspondence and ensuring no critical items fall through the cracks.

Required Qualifications:

  • 3–5+ years of experience in an Executive Assistant or Operations Support role.

  • Proven experience supporting senior-level executives in a fast-paced or multi-business environment.

  • Self-Starter Mentality: The ability to take a "brain dump" of ideas and turn them into actionable tasks with minimal supervision.

  • High level of emotional intelligence and the absolute discretion required to handle sensitive personal and financial information.

Preferred Qualifications:

  • Experience with Alibaba or global supply chain/packaging sourcing.

  • Advanced proficiency in Notion (database management and page architecture).

  • Prior experience in the biotechnology, health/wellness, or e-commerce sectors.

Required Skills & Tools:

  • Project Management: Notion (Required), Asana, or Airtable.

  • Communication: Google Workspace (Gmail, Calendar, Drive), Slack.

  • Research/Sourcing: High proficiency in web research and vendor sourcing (Alibaba).

  • Administrative Tools: DocuSign, Zoom.

Schedule & Pay:

  • Full-Time position;9am to 5pm  U.S. PST.

  • This is a fully remote job for a U.S.-based company.

  • Pay ranges from R14 500 to R25 000 per month, depending on experience, skill level, and technical proficiency.

  • Annual raises, bonuses, and confirmed holidays/PTO.
