What this role covers
We are hiring an Executive Assistant (Operations Assistant) for a consulting and advisory company in the social impact / business operations industry. This is a part‑time remote role for a U.S.–based company. This role is ideal for someone who is highly organized, detail‑driven, proactive, and able to bring structure, consistency, and operational efficiency to a founder‑led small business.
Key Responsibilities
Executive Support
Manage calendar, scheduling, and correspondence
Prepare meeting agendas, take notes, and track follow‑up action items
Serve as a point of contact with clients and external stakeholders
Documentation & Process Management
Create, organize, and maintain clear documentation for internal processes, SOPs, and client workflows
Ensure documentation remains current as processes evolve
Build and maintain organized digital filing systems
Process Improvement & Automation
Identify manual or repetitive tasks and propose/implement automation solutions (Zapier, Make, Google Workspace scripts, etc.)
Streamline recurring operational workflows as the business scales
Operations Support
Assist with light project management — tracking deadlines, deliverables, and client status updates
Support invoicing, expense tracking, and budget administration
Help manage vendor/contractor relationships
Conduct occasional research and sourcing for business development or client HR projects
Required Qualifications
2 - 4 years of experience as an Executive Assistant, Operations Coordinator, or similar role
Prior operations experience strongly preferred
Exceptional attention to detail and follow‑through
Strong written and verbal communication skills
Proven ability to create clear, well‑organized documentation
Comfort with or eagerness to learn process automation tools
High proficiency in Google Workspace
Discretion in handling confidential and sensitive information
Comfortable working independently in a small, founder‑led business
Preferred Qualifications
Research and sourcing experience (HR, recruitment, sales, or business development)
Comfort using AI tools for drafting, research, and summarization
Experience with project management tools (Asana, ClickUp, Notion, Monday.com)
Familiarity with automation/no‑code tools (Zapier, Make, Airtable)
Experience supporting a solo consultant or small business owner

Schedule & Pay
Part‑time position; 10 hours per week, Mon - Fri, U.S. business hours in the EST time zone.
This is a fully remote job for a U.S.–based company
Pay ranges from R3500 - R4000 p/m depending on experience and skill Annual raises, bonuses, confirmed holidays, and PTO included
