We are hiring an Executive Assistant for a mission-driven community finance organization (CDFI) in the Financial Services / Community Development industry. This is a Part-Time remote role for a U.S.-based client. The role is focused on executive support, calendar and inbox management, conference and fundraising follow-up outreach, CRM/task coordination, and weekly reporting/meeting prep.
The ideal candidate is proactive, highly organized, an excellent written communicator, culturally competent, and comfortable building light process/SOPs to drive clarity and follow-through.
Key Responsibilities:
- Manage complex executive calendaring, scheduling, and meeting confirmations across time zones
- Draft and send high-quality follow-up emails to contacts met at conferences; coordinate next steps and scheduling
- Support foundation/fundraising outreach (light research, contact organization, email outreach, and scheduling)
- Maintain and update CRM/contact lists; log interactions and track status to drive timely follow-ups
- Compile weekly briefings: who the executive is meeting, context, objectives, and prep materials
- Organize and update tasks in project management tools; produce weekly status and priorities reports
- Draft, proofread, and format professional correspondence and light documents as needed
- Capture meeting notes and action items; ensure owners, due dates, and follow-through
- Coordinate travel logistics and itineraries when needed; maintain preferences and documentation
- Create and refine simple SOPs/checklists to improve repeatable workflows
Required Qualifications:
- 3+ years of experience as an Executive Assistant or Administrative Assistant supporting senior leadership
- 3+ years of experience in calendar management, meeting coordination, and professional email communication
- 2+ years of experience managing outreach and follow-ups using a CRM or structured tracking method
- Strong organization, attention to detail, and ability to prioritize in a fast-moving environment
- High level of professionalism, discretion, and cultural sensitivity working with diverse communities
Preferred Qualifications:
- Experience in community development finance, impact investing, philanthropy, or nonprofit fundraising ops
- Background supporting executives who speak at conferences and manage extensive partner networks
- Familiarity with grant cycles, foundation outreach, or donor relations is a plus
Required Skills & Tools:
- Google Workspace (Gmail, Calendar, Drive, Docs/Sheets)
- Project management tools (e.g., Asana, Trello, or ClickUp)
- CRM or databases (e.g., HubSpot, Airtable, or Streak)
- Zoom or Google Meet for meetings; Slack or similar for internal comms
- Strong writing, proofreading, and research skills
Schedule & Pay:
- Part-Time position; 20 hours per week with core overlap 9:00 AM–2:00 PM Pacific Time (Mon–Fri)
- Fully remote role for a United States based client
- Pay ranges from R6,000 - R9,500 (depending on experience)
- Includes onboarding support, training resources, and growth potential with a long-term engagement
