We are hiring a Appointment Setter for a marketing agency company in the healthcare/dental industry. This is a Full-Time remote role for a US-based client. The role is focused on qualifying and nurturing leads, conducting proactive outreach, and scheduling high-intent consultations for premium dental treatments while maximizing show rates across multiple practices. The ideal candidate is empathetic yet persuasive, KPI-driven, highly organized, and an excellent English communicator with strong objection-handling skills and healthcare familiarity.
Key Responsibilities:
Qualify inbound leads via phone, SMS, and email to assess intent, fit, and readiness to book consultations
Conduct timely outbound follow-ups and reactivation of older leads to drive new bookings
Coordinate calendars and schedule consultations across multiple dental practices
Improve show rates through confirmation calls/texts, reminders, pre-consult education, and swift rescheduling
Manage and update CRM pipelines with accurate notes, statuses, and next steps
Handle objections, nurture prospects, and disqualify when appropriate to maintain quality
Meet or exceed KPIs for set rate, show rate, and scheduled-to-attended conversion
Collaborate with the leadership team to refine scripts, offers, and workflow processes
Maintain patient privacy and confidentiality standards in all communications
Prepare daily/weekly reports on lead flow, bookings, and show-rate performance
Required Qualifications:
2+ years of experience in appointment setting, inside sales, or patient coordination (B2C)
Demonstrated success improving show rates for high-ticket or healthcare services
Excellent verbal and written English; confident phone presence and empathetic communication style
Strong objection handling, discovery, and qualification skills
Proficiency with CRMs and phone/SMS tools; diligent with documentation and follow-through
Ability to work US business hours and manage multiple accounts/practices simultaneously
Process-driven, coachable, and metrics-oriented with high attention to detail
Preferred Qualifications:
Experience in dental, medspa, chiropractic, ophthalmology, or similar medical settings
Familiarity with HIPAA-aligned workflows and handling of sensitive information
Prior experience working across multiple client accounts or locations
Hands-on experience with GoHighLevel, HubSpot, Salesforce, Aircall/RingCentral, and SMS platforms
Required Skills & Tools:
CRM proficiency (e.g., HubSpot, GoHighLevel, Salesforce)
VoIP dialers and SMS tools (e.g., Aircall, RingCentral, Twilio-powered tools)
Calendar and productivity tools (e.g., Google Calendar, Calendly, Google Workspace/Sheets)
Schedule & Pay:
Full-Time position; 9:00 AM – 5:00 PM MT (Mon–Fri), with occasional flexibility as needed
Fully remote role for a US-based client
Pay ranges from R14,000to R18,000 per month (base), plus performance-based commissions tied to attended consultations
Includes structured training, ongoing coaching, and clear growth pathways (e.g., senior setter, team lead)
