What this role covers

We are hiring an Administrative Assistant for a founder-led wellness coaching company in the Health & Wellness industry. This is a Part-Time remote role for a UK-based client. The role is focused on operational administration, CRM automations, and AI-assisted content and course implementation so the founder can focus on creation and delivery. This role is ideal for a highly organized, tech-savvy, and assertive individual who can take the lead on administration and systems management, allowing the founder to focus on creative content and business growth.

Key Responsibilities:

  • Convert provided materials into publish-ready assets (blogs, newsletters, course modules, workbooks) using AI tools and light copyediting while maintaining brand voice.

  • Repurpose content and schedule posts across platforms (Instagram, LinkedIn, TikTok) via GoHighLevel’s social planner or similar tools; coordinate basic community replies as needed.

  • Set up, maintain, and optimize workflows in GoHighLevel: pipelines, automations, email/SMS campaigns, landing pages, funnels, forms, tags, and course areas.

  • Own weekly planning and task management: run a Monday morning UK-time check-in, prepare to-do lists, track tasks, and provide timely status updates; host a midweek sync.

  • Provide general administrative support: inbox and calendar management, client scheduling, event logistics, file organization in Google Drive, meeting notes, and SOP documentation.

  • Maintain accurate records, trackers, and simple performance reports; proactively flag risks, dependencies, and information needs.

  • Collaborate with the founder to prioritize workload, request inputs, and keep initiatives moving to deadlines.

Required Qualifications:

  • 2+ years of experience as a Virtual Assistant or Operations/Admin Assistant in a digital-first environment (coaching, wellness, education or similar).

  • 1 year of experience with GoHighLevel (or comparable CRM/marketing automation platforms) including building automations and funnels.

  • Proficiency using AI content tools (e.g., ChatGPT) to draft, refine, and repurpose copy for blogs, newsletters, and course materials.

  • Excellent written and verbal English communication; confident, proactive, and assertive with strong follow-through and feedback responsiveness.

  • Exceptional organization, time management, and attention to detail; able to manage multiple priorities and meet deadlines.

  • Comfortable with social media scheduling and content repurposing; basic copyediting and proofreading skills.

  • Ability to work remotely with high reliability and professionalism; availability for Monday morning UK-time check-ins and midweek collaboration.

Preferred Qualifications:

  • Experience in the health, wellness, or coaching space.

  • Demonstrated experience creating and launching online courses within GoHighLevel.

  • Basic design skills in Canva; familiarity with email marketing and SEO best practices.

Schedule & Pay:

  • Part-Time position; 10hours a week - preferred split of 5 hours on Mondays and 5 hours on Wednesdays (UK Timezone).

  • Fully remote role for a UK-based client

  • Pay ranges from R3 200 - R4 500 per/month

  • Includes onboarding support, access to training resources (including AI best practices), and growth potential as the business scales.
