We are hiring a Remote Office Administrator (Scholarship & Enrollment) for a private K–8 school company in the Education industry. This is a PART-TIME remote role for a Miami, Florida based company. This role is ideal for someone who is highly organized, detail-oriented, deadline-driven, discreet with sensitive data, tech-savvy, process-oriented, a proactive communicator, and bilingual (English/Spanish) strongly preferred.
Key Responsibilities:
Workflow Management: Manage end-to-end scholarship application workflows (e.g., Step Up for Students): create parent accounts, maintain credentials, upload required documents, and track acceptance, enrollment, invoicing, and parent approval steps.
Subsidy Administration: Administer Early Learning Coalition (ELC) renewals: build and maintain a shared tracker (Google Sheets), monitor expirations, send reminders, collect paperwork, submit renewals, and confirm approvals.
Data & Document Security: Receive, organize, and securely handle sensitive documents (e.g., birth certificates, pay stubs, IDs) using consistent file naming and storage practices while maintaining strict confidentiality.
Portal & Access Coordination: Coordinate two-factor authentication (2FA) access to portals in collaboration with on-site staff; schedule login windows and maintain secure credential logs.
Reporting & Tracking: Maintain real-time dashboards and weekly reports on student status; flag blockers and escalate issues promptly.
Stakeholder Communication: Communicate clearly with school staff and, when needed, parents via email, phone, and video; provide step-by-step instructions and updates.
Process Optimization: Create and refine SOPs, checklists, and templates to improve accuracy, speed, and compliance across all processes.
Operational Support: Perform related administrative tasks as assigned to support school operations.
Required Qualifications:
3+ years of administrative support, document control, or data-entry experience with high accuracy.
Proven experience managing online application/portal workflows and meeting strict deadlines.
Advanced proficiency with Google Workspace (Sheets, Drive, Docs, Gmail); comfortable building trackers and reports.
Excellent written and verbal communication in English and Spanish; professional, service-oriented demeanor.
Demonstrated discretion handling sensitive PII; able to pass a background check.
Preferred Qualifications:
Experience in K–12 administration, admissions, financial aid, or nonprofit grants management.
Familiarity with Florida Step Up for Students and Early Learning Coalition (ELC) portals and processes.
Bilingual English/Spanish for parent-facing communication when needed.
Required Skills & Tools:
Google Workspace (Drive, Sheets, Docs, Gmail, Calendar)
PDF and scanning tools (e.g., Adobe Acrobat, scanner apps) for compiling and preparing submissions
Web-based portals (e.g., Step Up/ELC) and tracking tools (Google Sheets; familiarity with Trello/Asana a plus)
Schedule & Pay:
PART TIME position; 9:00 AM–5:00 PM in the Eastern Time (EST) time zone
This is a fully remote job for a Miami, Florida based company
Pay ranges from USD $430 to USD $600 per Month, depending on experience and skill
