We are hiring a Financial Operations Specialist to support a fast-paced nonprofit organization focused on maintaining financial accuracy, discipline, and operational clarity. This is a fully remote role centered on day-to-day financial management, budget tracking, and system integrity.
The ideal candidate is highly detail-oriented, proactive, and comfortable working with financial systems, with the ability to manage multiple budgets and ensure accuracy across all financial records. This role requires strong organizational skills, confidence in enforcing financial discipline, and the ability to provide clear, timely financial insights to leadership.
Key Responsibilities
Operations & Financial Management:
Manage and maintain day-to-day financial operations across the organization.
Maintain and reconcile all transactions within financial systems (QuickBooks).
Ensure accurate categorization and up-to-date financial records at all times.
Process and manage payroll through ADP, including preparation and review of timesheets.
Track accounts receivable and ensure proper financial documentation.
Maintain organized financial records across shared systems (Google Drive, internal tools).
Support grant reporting with accurate and reliable financial data.
Communicate financial updates clearly with internal stakeholders.
Attend weekly team meetings and provide updates on financial status.
Participate in monthly finance meetings and ad-hoc budget planning sessions.
Handle ad-hoc financial and administrative tasks as required.
Budgeting & Financial Oversight:
Maintain and update master budgets across multiple programs and grants.
Track expenses against budgets and monitor grant-specific spending.
Identify and flag financial risks, including overspending and budget misalignment.
Ensure alignment between actual spend and allocated budgets.
Proactively identify missing, unclear, or inconsistent financial transactions.
Provide real-time visibility into financial performance and potential issues.
Required Qualifications:
3+ years of experience in bookkeeping, financial operations, or similar roles.
Strong experience managing budgets and financial tracking.
Proficiency with financial tools such as QuickBooks and ADP.
Advanced skills in Excel or Google Sheets.
Strong attention to detail and accuracy in financial data.
Highly organized with the ability to manage multiple budgets and deadlines.
Ability to work independently in a remote, fast-paced environment.
Strong communication skills, with the ability to clearly explain financial information.
Proactive problem-solving mindset and ability to flag issues early.
Preferred Qualifications:
Experience working in nonprofit organizations.
Familiarity with grant tracking and reporting requirements.
Experience using project management tools such as ClickUp.
Experience collaborating with leadership teams on financial processes.
