What this role covers
We are hiring an Executive Personal Assistant for a dynamic client, currently overseeing multiple international initiatives. This role is ideal for someone who is professionally mature, tech-savvy, and proactive, with the ability to build systems and support global initiatives as the business scale.
Key Responsibilities:
Provide high-level executive personal assistant support
Manage complex executive calendaring, scheduling, and meeting confirmations across time zones
Draft and send high-quality follow-up emails to contacts met at conferences; coordinate next steps and scheduling.
Support foundation/fundraising outreach (light research, contact organization, email outreach, and scheduling)
Draft, proofread, and format professional correspondence and light documents as needed
Capture meeting notes and action items; ensure owners, due dates, and follow-through
Coordinate travel logistics and itineraries when needed; maintain preferences and documentation
Build, maintain, and optimize internal systems and workflows to improve efficiency.
Required Qualifications:
2+ years proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
1+ years proven experience supporting outreach and follow-up initiatives.
Exceptional organizational skills and the ability to manage multiple tasks independently.
Strong professional communication skills for client outreach and internal collaboration.
Experience working in a remote, global environment.
Preferred Qualifications:
Background in system building or process improvement for growing businesses.
Prior experience working with or facilitating outreach / professional communication to international clients (with a focus on the GCC region)
Previous experience supporting executives in international markets.
Required Skills & Tools:
Communication: Strong and effective verbal and written communication skills.
Project Management: Trello, Asana, or Notion
Productivity: Google Workspace (Docs, Sheets, Calendar) or Microsoft 365
Schedule & Pay:
Part-time position; 10 hours per week in the SAST time zone. 2-hour block between 8:30am - 12:30pm SAST.
6-month contract with potential for extension.
Pay R3500 - 4500
Annual raises, bonuses, confirmed holidays, and PTO are applicable.
System Requirements:
Internet speed of at least 20 Mbps.
Computer with a 2.4 GHz processor or higher.
8 GB of RAM or higher.
Windows 10 or newer, or Mac OS X 10.10 or newer.
HD 720p webcam.
