What this role covers

We are hiring an Executive Assistant for an SMB-focused company in the Payroll and HR Services industry. This is a Full-Time remote role for a United States (East Coast) based client. The role is focused on providing executive support, maintaining CRM hygiene and light operational support. The ideal candidate is proactive, detail-oriented, tech-savvy, an excellent communicator with a neutral, professional phone presence, and comfortable working in a fast-paced, founder-led environment.

Key Responsibilities:

  • Provide executive support: manage calendars, inboxes, meeting prep, notes, action items, follow-ups, and light travel coordination

  • Maintain CRM hygiene: deduplicate, enrich, and import/export data; ensure accurate contact/company/deal records

  • Create dashboards and reports in HubSpot; consolidate multiple spreadsheets into master trackers and KPI reports

  • Document processes and create/update SOPs to drive consistency and scalability

  • Provide light sales operations support: lead research, list building, and record updates

  • Professionally handle and route inbound calls/messages as needed

  • Coordinate cross-functionally with leadership, sales, and external vendors to move projects forward

  • Uphold confidentiality and data security, especially with sensitive financial/payroll-related information

Required Qualifications:

  • 2+ years as an Executive Assistant, Operations Assistant or similar in a US-facing, remote environment

  • 1–2+ years hands-on experience with (HubSpot) CRM.

  • Excellent written and spoken English with a neutral, professional phone presence

  • Advanced spreadsheet skills (Google Sheets/Microsoft Excel), including formulas, lookups, pivot tables, and data cleansing

  • Excellent written and verbal communication

  • High attention to detail and ability to multitask

  • Strong organisation, prioritisation, and time management skills; comfortable working in Eastern Time business hours

Preferred Qualifications:

  • Experience in payroll, HR, fintech, or B2B services

  • Familiarity with simple design tools (e.g., Canva)

  • Experience supporting sales teams/SDR operations and building CRM-driven reports and dashboards

Required Skills & Tools:

  • Experience with CRM’s (Hubspot) and project management tools

  • Google Workspace and/or Microsoft 365 (Gmail/Outlook, Calendar, Sheets/Excel, Docs)

  • Slack and Zoom

Schedule & Pay:

  • Full-Time position; 9:00 AM–5:00 PM Eastern Time (Monday–Friday)

  • Fully remote role for a United States (East Coast) based client

  • Pay ranges from R14 000 - R18 000

  • Includes training, long-term growth potential, and ongoing support.
