We are hiring an Executive Assistant for a solopreneur consulting/coaching company in the Professional Services industry. This is a Full-Time remote role for a US-based client. The role is focused on end-to-end practice operations, client communications, invoicing, CRM/project management, and nationwide workshop/event logistics with light marketing support. The ideal candidate is someone who is a proactive, detail-obsessed critical thinker, and a systems-driven professional capable of seamlessly managing business operations, client experiences, and national workshop marketing/logistics while anticipating the owner's needs.
Key Responsibilities:
Manage executive inbox and calendar; schedule and confirm meetings with clients and prospects
Serve as primary point of contact for client communications and inquiries, ensuring timely, professional responses
Maintain and update CRM/project management boards (monday.com) and ensure tasks, timelines, and follow-ups are accurate
Create, send, and track invoices; record expenses and mileage; reconcile payments and follow up on overdue invoices (QuickBooks or similar)
Plan and coordinate ~20 workshops/events annually, including venue sourcing, contracts, AV/catering, travel/lodging, and day-of run-of-show
Manage attendee registrations, communications, and pre-/post-event materials; provide remote day-of support and troubleshooting
Coordinate ordering, production, and shipment of training materials and supplies to event locations
Produce light marketing and event collateral in Canva; support email announcements and reminders
Prepare reports, dashboards, and simple KPIs related to pipeline, events, budgets, and operations
Document SOPs, continuously improve processes, and proactively anticipate next steps and needs
Required Qualifications:
3+ years of combined experience in executive assistance, operations, and/or event coordination within a professional services environment
2+ years experience handling basic invoicing, expense tracking, and client billing procedures.
Proven track record managing calendars, client communications, and end-to-end logistics with minimal oversight
Hands-on experience supporting workshops, seminars, or corporate events (venue/vendor coordination, timelines, materials)
Exceptional written and verbal English communication; strong attention to detail and follow-through
High ownership mindset with the ability to anticipate needs, make decisions, and solve problems proactively
Preferred Qualifications:
Experience in consulting/coaching, professional training, or similar client-facing environments
Experience working in a blended role such as Executive Assistant, Operations Manager, Practice Manager, or Event Coordinator.
Familiarity with invoice management and basic expense tracking (QuickBooks or similar)
Basic design skills in Canva and exposure to email marketing or registration tools

Schedule & Pay:
Full-Time position; Monday–Friday, either 8:00am–5:00pm EST or 9:00am–6:00pm. EST
Fully remote role for a US-based client
Pay ranges from ZAR 19 000 - ZAR 25 000
