What this role covers

We are hiring an Education Operations Assistant for a growing, student-focused learning center in the Education and Tutoring industry. This is a part-time, fully remote role for a US-based company.

This role is ideal for a highly organised, reliable, and detail-oriented professional who excels at managing backend operations and administrative systems. We are looking for a proactive individual who can follow structured SOPs, communicate with extreme clarity and patience, and take full ownership of ensuring a smooth experience for both families and teachers.

Key Responsibilities

  • Scheduling & Calendar Management: Manage complex student schedules, monitor open time slots, coordinate reschedules, and ensure 100% accuracy across all scheduling platforms.

  • Enrollment & Student Setup: Set up new students in the system, assign teachers based on availability and fit, and send all necessary booking links and confirmations.

  • Parent Communication: Respond to parent emails, calls, and texts professionally using established templates. This includes walking parents through technical setup via Zoom/Google Meet if needed (with patience for those with language-based learning disabilities).

  • Teacher Coordination: Track teacher availability, communicate schedule updates, and assist with substitutions or coverage to ensure zero confusion.

  • Tuition & Billing Support: Assist with monthly billing preparation, track payments, flag late accounts, and handle basic billing inquiries using provided guidelines.

  • Reporting & Admin Support: Maintain student trackers, update weekly reporting metrics, and flag any operational inconsistencies to management early.

Required Qualifications

  • Communication Excellence: native English speaker with the ability to articulate information slowly and clearly for clients with learning disabilities.

  • Technical Proficiency: Must be highly versed in Google Workspace (Docs, Sheets, Gmail, Calendar management across time zones).

  • Operational Discipline: Proven ability to follow complex, structured systems and Standard Operating Procedures (SOPs) without constant oversight.

  • Attention to Detail: High level of accuracy in data entry and calendar management where small errors can disrupt student learning.

  • Interpersonal Skills: A calm, patient demeanor under pressure and a strong customer-relationship focus.

Preferred Qualifications

  • 2+ years of experience as a Virtual Assistant or in operations role for a service-based business.

  • Experience in the Education or Tutoring sector.

  • Familiarity with TutorBird or similar student management systems.

  • Basic awareness or experience with Zapier and workflow automation tools.

Schedule & Pay

  • PART-TIME position (20 hours per week).

  • This is a fully remote job for a US-based company.

  • Pay ranges from R6 000 - R9 000 per month, depending on experience and specialized skill sets (e.g., Zapier/automation proficiency).

  • Annual raises, bonuses, confirmed holidays, and PTO are available.
