We are hiring an Operations Support Specialist to support a Canada-based boutique recruitment firm specializing in Accounting & Finance talent. This is a fully remote role focused on AI-driven operations, workflow coordination, and back-office support.
The ideal candidate is highly detail-oriented, tech-comfortable, and proactive, with the ability to manage multiple workflows while working closely with the founding team. This role requires strong organizational skills, comfort with AI tools, and the ability to ensure high-quality, client-facing deliverables.
Key Responsibilities
Operations & Workflow Support:
Manage and support day-to-day operational workflows across recruitment and internal processes.
Maintain and organize internal systems, documentation, and knowledge bases (Notion, CRM, shared drives).
Ensure data accuracy across CRM, candidate pipelines, and internal tracking systems.
Coordinate scheduling, reference checks, and internal communications.
Assist with onboarding processes, including documentation and system setup.
Identify opportunities to improve workflows through automation and AI tools.
Perform data entry, research, and general administrative tasks.
Provide regular updates to leadership on workflow progress and bottlenecks.
Maintain strict confidentiality of all company and candidate information.
Handle ad-hoc operational and administrative tasks.
AI & Candidate Deliverables (Visual Resume Support):
Prepare and format client-facing “Visual Resumes” for candidates.
Review AI-generated content for accuracy, clarity, and quality (QA).
Collaborate with recruiters to gather candidate insights and key information.
Ensure all deliverables are polished, consistent, and client-ready.
Maintain and improve templates and formatting standards.
Track turnaround times and flag delays or inefficiencies.
Outreach & Campaign Operations Support:
Support and monitor outbound campaigns and automated workflows.
Build and maintain prospect lists aligned with target customer profiles.
Assist with campaign setup, sequencing, and A/B testing.
Monitor campaign performance and prepare reports.
Maintain CRM hygiene and ensure data accuracy.
Support scheduling of demos and introductory calls.
Assist with refining messaging and outreach templates.
Required Qualifications:
3+ years of experience in operations, administrative support, or coordination roles.
Strong attention to detail, especially with client-facing deliverables.
Excellent written English communication skills.
Proficiency with AI tools (Claude) for productivity and workflow support.
Comfortable using CRM systems, project management tools, and automation platforms.
Highly organized with the ability to manage multiple tasks and deadlines.
Ability to work independently in a remote, fast-paced environment.
Strong problem-solving skills and ability to learn new systems quickly.
Preferred Qualifications:
Experience in recruitment, staffing, or HR environments.
Familiarity with outreach tools, CRM systems, or sales automation platforms.
Experience working with Notion or similar knowledge management tools.
Exposure to AI workflows, prompt usage, or automation tools.
Background in accounting or finance industries.

CRM platforms (e.g., RecruitCRM or similar).
Notion or similar project/documentation tools.
AI tools (ChatGPT, Claude, or similar).
LinkedIn and basic research tools.
Strong written communication and organizational skills.
Schedule & Pay:
Full-Time position; Monday - Friday EST.
Fully remote role for a U.S.-based company
Pay ranges from R14,000 - R25,000 per month.
Annual raises and confirmed holidays.
