What this role covers
We are seeking a highly organised, results-driven Property Management Assistant to manage leasing and operational coordination for approximately 15 residential properties for a U.S.-based firm. This role covers both rental property management and house-flip project coordination and is best suited for someone who thrives in fast-paced, hands-on environments.
The position focuses on tenant communication, leasing workflows, inspections, repair coordination, and flip-related property operations. The ideal candidate can work independently without hand-holding, manage volume and multiple priorities, and operate with a proactive, ownership-driven mindset.
Strong knowledge of construction materials is very strongly preferred.
Key Responsibilities:
Leasing & Tenant Coordination:
Advertise homes for rent.
Respond promptly to tenant enquiries via text, email, and phone (primarily text).
Pre-qualify prospective tenants.
Set up and coordinate property viewings using group chats.
Coordinate viewings with the on-site / underground property manager.
Follow up with tenants after viewings.
Process rental applications.
Organise, sign, and manage leases.
Coordinate deposits, move-ins, and move-outs.
Handle ongoing tenant enquiries throughout the lease lifecycle.
Property Operations & Maintenance:
Coordinate repairs and ongoing maintenance.
Organise routine, move-in, move-out, and flip-related inspections.
Coordinate purchase of repair materials for handymen and contractors.
Work closely with contractors and service providers to ensure timely completion of work.
House Flip & Project Support:
Support property operations for house-flip projects.
Coordinate repairs and renovations.
Order materials and supplies for renovation projects.
Track tasks, timelines, and readiness for sale or rent.
Support inspections and property readiness milestones.
Tracking & Systems:
Create and maintain spreadsheets and tracking systems.
Check that rent is received (not responsible for rent collection or banking reconciliation).
Use Asana to manage tasks, timelines, and operational workflows.
Required Qualifications:
2+ years experience in property management, leasing coordination, or property operations
2+ years experience in setting up and coordinating property viewings
Strong knowledge of construction materials
Proven experience coordinating property maintenance.
Proven experience handling tenant inquiries and move-ins/outs.
Strong understanding of rural West Virginia culture, tenant expectations, communication style, and local norms.
Strong working knowledge of Asana
Proven ability to work independently.
Proficiency in Microsoft Word & Excel
Experience using Quo
Regular professional use of ChatGPT
Excellent written and verbal communication skills
Preferred Qualifications:
Experience coordinating repairs, renovations, or house-flip projects
Familiarity with rural property management environments

Schedule & Pay:
Part-Time position; Monday–Friday 11 AM - 3 PM, PST time zone.
Fully remote role for a US-based company
Pay ranges from R7,000 - R8,000 per month
