What this role covers
We are hiring a Onboarding Assistant for a professional services company in the international trade/e-commerce compliance industry. This role reports directly to the Customs Manager and plays a key role in supporting internal teams and clients by ensuring onboarding activities are completed accurately, efficiently, and on time.
The Onboarding Assistant is responsible for document checks, data entry, file management, and client communications. This is a full-time remote role for a UK based company. This role is ideal for someone with strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks in a structured and methodical manner.
Key Responsibilities:
Supporting with Onboarding:
Support the onboarding process by ensuring all required client information and documentation is received and recorded correctly.
Check and validate onboarding documents, including passports and company documentation, ensuring they are current, complete, and compliant with internal requirements.
Flag missing, expired, or incorrect documents and follow up with clients or internal stakeholders where required.
Supporting with Data Entry and File Management:
Accurately input onboarding and client data into internal systems, maintaining data integrity and consistency.
Rename, organize, and file documents in line with internal naming conventions and processes.
Upload reports and documentation to relevant systems, ensuring correct version control and accessibility.
Supporting with Client Communications:
Communicate professionally with clients via email to request documentation, provide updates, and confirm completion of onboarding steps.
Respond to basic client queries related to onboarding in a timely and courteous manner.
Maintain clear records of client communications and actions taken.
Timeliness and Process Adherence:
Ensure all onboarding and administrative tasks are completed within agreed timeframes.
Work closely with internal teams to ensure onboarding processes run smoothly and efficiently.
Follow internal procedures and escalate issues or delays where necessary.
Required Qualifications:
2+ years experience in an administrative, onboarding, or support role.
Familiarity with document checking/compliance-related processes.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and meet deadlines.
Organized and methodical approach to work.
Ability to work effectively both independently and as part of a team.
Required Skills & Tools:
2+ years experience with administrative & onboarding support.
Proficiency with MS Office Suite.
Schedule & Pay:
Full-Time position; Monday–Friday, UK time zone.
Fully remote role for a UK.-based company
Pay ranges from R14,000 - R16,000 per month
Annual raises and confirmed holidays
