We are hiring a Lettings Administrator (Tenant Relations) for a property management company in the Real Estate industry. This is a Full-Time remote role for a United Kingdom-based client. The role is focused on tenant communications, advertising vacancies, coordinating issue resolution, and keeping lettings operations organized across CRM and file systems. The ideal candidate is organized, proactive, detail-oriented, tech-savvy, and highly customer-service focused, with excellent written and spoken English.
Key Responsibilities:
Serve as the first point of contact for tenant inquiries via WhatsApp and email; respond promptly and professionally.
Triage and coordinate maintenance or tenancy issues with the internal team and external vendors; track to resolution.
Create, post, and refresh rental listings on SpareRoom, OpenRent, and Facebook; respond to leads, pre-qualify applicants, and schedule viewings as directed.
Maintain accurate records in Monday.com (CRM), including leads, vacancies, tenancy status, and tasks.
Organize and maintain tenancy documents in Google Drive; prepare and send agreements and documents via DocuSign.
Track KPIs such as inquiry volume, conversion, occupancy, and turnaround times; provide concise weekly reports.
Standardize and improve basic processes and file organization so information is easy to find.
Collaborate closely with the founder/operations team; escalate issues appropriately and follow up until completion.
Required Qualifications:
2+ years in lettings administration, property management support, or a tenant-facing customer service role.
Excellent written and verbal English communication; confident handling high-volume messaging and calls.
Hands-on experience posting and managing rental ads on platforms such as SpareRoom, OpenRent, and Facebook.
Strong organization and follow-through; ability to prioritize, meet deadlines, and work independently.
Comfortable working UK hours and collaborating remotely with a distributed team.
Preferred Qualifications:
Familiarity with the UK lettings lifecycle (applications, referencing, move-in/move-out) and basic compliance concepts.
Experience preparing tenancy documents and using e-signature tools like DocuSign.
Experience coordinating maintenance requests with vendors or contractors.

Schedule & Pay:
Full-Time position; 12:00 pm–8:00 pm UK time, Monday–Friday (some flexibility as needed)
Fully remote role for a UK-based client
Pay ranges from R14,000 - R18,000 per month
